January 2020 MinutesBeverly Council on Aging Board of Director's Meeting Date January 7, 2020 Place: BCOA Members Present: Claire -Marie Hart, Bob Hobbs, Cynthia Montalbano, Susan Feeney Jessica Wistran Esquire Staff Present: MaryAnn Holak, Samatha Kossow Guest Present: Julie Flowers, Councilor at large Meeting called to order: 2:35 pm Secretary's Report: Minutes were accepted as written. Director's Report Building Concerns and Usage The City Plumber is helping to repair a small problem with the heat system. The Beverly Human Rights Committee will be meeting in the building for their January 16 Committee Meeting. Administration and Finance FY `20 YTD Budget Review Budget on target. Seniorcare, Inc Title III b grant contract has been amended and is ready for the Mayor's signature. Beverly Housing Authority got a grant to renovate Balch Street apartments. BCOA agreed to provide additional outreach to the residents once the project is complete. Programs and Events The 2020 schedule of trips has been planned and advertising began on January 1, 2020. December events: Holiday party with Beverly Middle School Band and Chorus. Volunteer recognition dessert party - thanks to sponsor Whole Food. Senior Soiree planned on January 9 th we are expecting one hundred to attend this event. Sam reviewed the program utilization at the Senior Center for the first 6 months of FY'20, including: • First 6 months of fiscal 2020 (July — December), 1,500 seniors came to an event or activity at the Beverly Senior Center for a total of 24,000 activities. • November, July, and October were the three busiest months. December was the quietest. • Events attended include; Social Events — Senior Day in the Park - Coffee and Breakfast- Movie and Pizza, also; exercise class - Balance and strength- Arthritis class. Also, Professional Services: Legal Clinic Night. • SHINE Appointments - and Elected Official Office Hours. Outreach Department works with over 600 seniors. Staff performed 88 home visits and over 300 office visits. Distribution of 118 Farmer's Market coupons, 31 Holiday gift baskets deliveries and 12 protective service reports. We had over 200 people access our mobile Market with over 800 visits. Transportation Dept. provided 3,000 rides. • 153 unduplicated riders this year. 500 were for Medical appointments, 1,100 for food access, 500 for access to local shopping. • Volunteers: We had 165 volunteers provide over 10,000 hours of service at our Center, averaging 10 hours of service a month per volunteer. *(Information provided to the Board through a handout) Community Engagement Breakfast Club met on December 12 at the Senior Center Meetings /Activities /Clients of Concern Seniorcare, Inc. COA Appreciation Event- January 14, 2020 held in Beverly, Board is invited. Elder at risk task force planning an event for National Healthcare Decision Day in April. Discussion on clients of concern. Outreach did thirty Holiday visits sent out fifty cards to spouses that lost their partner MaryAnn, Samatha and Claire -Marie all attended the Inauguration on January 6 th at 1pm at BHS. Friday February 14 — Seniorcare will hold their Valentine's Breakfast. Several Board members plan on attending the event. Personnel Updates Still seeking a 19.5 hour Outreach Coordinator Still seeking a 35 hour /wk. Transportation Coordinator Staff are working on a detailed list of their job duties and how they spend their time as per a Curtis Associates workshop handout. Committee Reports The Awards and Grant Committees did not meet this month Unfinished Business There was no unfinished business. New Business City Councilor at Large, Julie Flowers attended the meeting to learn more about our work and to meet the board members.
