Golf and Tennis Minutes 10-17-2023 BEVERLY GOLF AND TENNIS COMMISSION MEETING MINUTES Board: Golf and Tennis Commission Date: October 17, 2023 Location: Beverly Golf& Tennis Members Present: Chair William Lowd, Co-chair Martin Lawler, Arthur Athanas, Chad Crandell, and Judith Cronin. Absent: Kevin Ascolillo, Andrew Cooper, Steve Murphy GFMI: Chris Carter, Dan Anastas, Dave Dionne, aMl `?, Mike LaPierre _ p: Recorder: Nancy Doucette = ' Opening Remarks: Bill Lowd called the meeting_ to order. > , Minutes: �� Review of the Minutes of August 8, 2023 meeting. Martin Lawler: Motion to approve the minutes of August 8, 2023. ' ArthurAthanas seconded. The motion carries (5-0). Financial Update: Martin Lawler provided an update on the financials. He handed out the YTD budget report as of 10/17/23 and noted the only activity was in the maintenance account. Martin will research accounting for energy for further clarification. GFMI Update: Chris presented the rounds & revenue report indicating that even with a rainy summer we are still doing well. The rounds are a bit higher than last year. We continue to serve the community through jr. golf and supporting many area schools including Beverly High School, Danvers High School and Pingree. Membership prepayment is due December 11. The greens fees were down in September due to weather. Both tennis and functions are up. Mike reported on tennis indicating we are pretty much done for season. There are four courts open which will drop in approximately two weeks. It has been a good summer. The town recreation program also uses these courts. BG&T Site Proiects / Status /Discussions & Updates: Martin and Chad met with Bryant and Mayor Cahill; they are committed to the 181h hole and further review is needed regarding club house renovations, a possible option relates to the historic register. This will remain as an agenda item and further review of the historic register will be done. Hole 18 —The DEP has come back after the director reviewed. They want to shorten by 100 sq feet but also want 2400 sq feet of water mitigation. This has been reviewed by the Conservation Commission, they indicated some trees should not be removed. After a conference call, a drawing was completed. All agreed they do not want to affect playability. BG&T expects to present (holes 9 and 18) at the next conservation commission meeting which is the day after election day. Once done, we can get bid and be ready to go in the Spring. Hole 9 & 12 —No proposal yet, target completion for Spring. Tennis court screen — Bill asked Mike to obtain a quote for a court screen, for the first two banks, and to look into cost with the logo. Logo should be facing in. Spring maintenance—obtain a proposal for resurfacing tennis courts. It was determined that we should reach out to David Gelineau to ask about how best to handle this. Summit Supply Co.—has been out a couple of times to fix dishwasher; there is a concern that they will exhaust their ability to service the dishwasher in place. Estimate for replacement has been received. Chris will show Summit the two models and estimate received to obtain their opinion. We want to be sure the option chosen will fit the space. Men's Room Urinal--Repair has been attempted, however the shut off cannot be located. This winter, with the water shut off, Plumber will come in to repair and will have them look at all four while here. Bench for Bill Coughlin — is now in place located behind the tenth T, by the tree. This Thursday night the family is coming out to have a memorial ceremony. Impact Fire—A quote has been received, which referenced a 10/25/21 inspection. Bill will reach out to David Gelineau for clarification as to what and why this was received. In addition, will obtain a couple of additional quotes. Public comments—A guest commented that he has heard people in the community commenting on how good the facility looks. They are thrilled about the look on #16 hole and all the work on #1 Green; the comments are - looks great and everyone is happy. He also noted there have been some complaints about the men's room sited above. Martin Lawler: Motion to adjourn. Arthur Athanas seconded. The motion carries (5-0).
